Privacy Virtual Environment Conferencing

Part of what I love about writing for the Lighthouse blog is that I get to share my weekly experiences and interactions with clients and prospects.  Usually those experiences are fun and entertaining, with the occasional oddities and frustrations sprinkled in.  On a recent call with a prospect who reached out to Lighthouse to discuss our virtual environment conferencing capabilities, I had a conversation that took a turn down a road I had not yet traveled.  This is always  great because it means I’m going to learn something new!

This particular prospect works for a large healthcare organization and they wanted a unique way to engage their workforce for their upcoming HR open enrollment presentations.  In the past they would hold meetings in their various conference rooms, webinars to share plan presentations and conference calls to manage a Q&A session.  However, they realized that privacy was an issue.  Their challenge was that employees did not feel comfortable asking the sensitive and private questions they needed answers to in a group setting.  These questions revolved around medical issues and what health insurance plan was best for their specific needs.  Not a conversation you want to have in front of Ed in Accounting that you eat lunch with everyday, right?

Their vision was clear.  Could Lighthouse provide a solution that would allow their HR department to host a virtual event that was 100% anonymous, but allow for 1-on-1 collaboration? An event their workforce could attend to get the information they need and answers to their personal questions?  Proudly, we answered “Heck Yes!”.  We introduced a Virtual HR Open Enrollment Fair using our virtual events platform.

Here are the highlights of this unique virtual environment:

VEC Platform

The Lighthouse VEC (virtual environment conferencing) platform was used to create a virtual fair with booth locations for Q&A with benefits vendors, a resource center for on-demand videos, auditorium for live presentations and networking lounge for group chats.

Anonymous Avatar

Every employee was able to create an anonymous avatar that would allow them to enter the virtual fair to watch live and on-demand videos, download materials, chat 1-on-1 with HR and benefits professionals and browse any booth location completely anonymously!

Rich Media

On-demand and live webcast video presentations were available throughout the environment.  Guests were able to watch pre-recorded videos to learn more about the products vendors were offering to see if they were right for them.  Live-stream webcasts were used for some vendors to present in real time and engage audiences with anonymous polling.

Booth Interaction

Since guests were completely anonymous as they explored the virtual fair they were able to chat with benefits vendors in a 1-on-1 setting to ask the personal questions that were most important to them.  This anonymity allowed for a stress free and non-judgemental atmosphere for employees.

There was much more that went into this unique Virtual HR Open Enrollment Fair.  For example, this was a 3-day event that was live and staffed during certain hours. However, the environment was available 24/7 during those 3 days so guests could come and go as they please.  I could go on and on about this great event, but we’d be here all day.
